Answer what is known. Give uncertain cases an owner.

A customer asks when a replacement will arrive. The answer may be in an authorized order record, or the record may be missing, stale or inconsistent. Define when an approved answer is safe and when a specialist takes over.

Start with one frequent request

Choose a recurring question, such as a customer asking when a replacement will arrive. Agree which approved status source may be checked, what information can be shared, and who owns a case when the answer is missing or uncertain.

  • Name the support owner and the source or helpdesk path to evaluate.
  • Define the identity and access checks, permitted response, and any actions that need staff approval.
  • Agree what an accepted answer or accepted escalation means before testing.

Walk through a replacement-status question

Illustrative evaluation flow: the source, permissions, helpdesk behavior and handoff must be confirmed for the selected workflow.

01

Routine status question

If an approved order-status source is connected and the requester is authorized, the proposed workflow can prepare an answer from a confirmed status. It should leave the date unknown when the source cannot confirm it.

02

Missing or conflicting information

A missing match, stale timestamp or inconsistent status stays unresolved. Carry the customer’s question, relevant case context and lookup result to the support owner; do not infer a date, promise a remedy or close the case.

03

A person owns the exception

A named support specialist checks the available information and decides whether to ask for more detail or take an authorized service action. A requested handoff remains pending until its owner accepts it.

04

Define the accepted result

Agree whether a case is complete when an approved answer is recorded through the validated path, or when a named owner accepts the exception and records its next action. A generated reply or created ticket alone does not establish completion.

Keep service decisions with your team

Set the permitted routine lane and make uncertainty visible so staff can take over with enough context.

  • Use only approved information and the access scope agreed for the evaluation.
  • Keep refunds, replacements, delivery commitments and sensitive cases with an authorized person unless a specific action is separately approved and tested.
  • Show whether an answer is prepared, recorded, sent or still awaiting a human owner; these are different states.

Agree how to evaluate the workflow

These are proposed measures, not reported results. Choose the cases and acceptance targets with the support owner before testing.

  • Check correct handling of routine, missing, stale and conflicting status information against the approved source.
  • Check whether exceptions reach the intended owner with the agreed case context, and track owner acknowledgement separately from a handoff request.
  • Compare reviewer acceptance, rework and staff effort for an agreed sample against the current process; do not infer improvement without measured evidence.

Bring one support workflow for review

Bring a small, anonymized set of straightforward and exception cases, the relevant knowledge or status-source owner, the helpdesk owner, and your current definition of a resolved request. Use the workflow review to set permissions, ownership and an acceptance rule before testing.

THE RESULT TO CHECK

An intake record and missing-information list for the licensed handler. Coverage, liability and settlement remain human decisions.

Context, channels and boundaries

AI-assisted FNOL that gathers claim details, flags urgency for review, prepares evidence and proposes routing while handlers retain coverage, liability and settlement.

Prepare permission-based enquiries and claims intake, confirm the receiving team’s acceptance, and keep plan advice, eligibility, enrollment, coverage and settlement with authorized people.

Channel options: Voice · Web chat · WhatsApp · Email. Connections, permissions, human coverage and results require validation for your deployment.
