THE RESULT TO CHECK

An update from the approved incident source or a staff-owned escalation; hazards and vulnerable customers follow the agreed route.

The operating problem

Repeated outage questions consume staff time while teams reconcile approved incident records, changing estimates and customer context. This blueprint prepares a location-relevant response, makes missing or stale information visible, and gives staff a reviewable follow-up brief while hazard assessment, dispatch and restoration prioritisation remain with the utility.

  • Staff answer the same outage questions while reconciling the available incident record across channels and systems.
  • An approved estimate can be stale or missing, but customers need a clear explanation of what is known and what needs follow-up.
  • Hazard, priority-service and access details need accountable staff review rather than a model deciding current conditions or field priority.

Fictional example: a routine outage enquiry

At 11:00, a customer asks about a routine outage while the available incident record was last updated at 09:00 and has no newer restoration estimate. The example shows prepared information and pending human follow-up, not an emergency response or confirmed restoration.

01

Match the available record

The worker confirms the service location and finds the available approved incident record. It presents the 09:00 update time, affected area and missing newer estimate as available information, without claiming that the current condition or restoration is confirmed.

02

Prepare a clear response

The worker prepares a message that explains what the record says, identifies the missing current estimate and proposes a staff follow-up. A prepared message is kept separate from staff approval, sending and delivery.

03

Track the pending follow-up

The worker prepares the location and question for the utility team. After an approved save, the report remains pending until a staff member accepts it. If saving fails or no one accepts the follow-up, the utility's named fallback owner handles the unresolved request. Dispatch and restoration still require separate utility confirmation.

What a first pilot should improve

Agree the outcomes with your support team and compare them with your current process.

  • Prepare a location-relevant response from the available, source-approved incident record, with freshness and gaps visible to staff.
  • Capture hazard, priority-service and access information for staff acceptance and the agreed utility follow-up path.
  • Separate a saved report, proposed route and prepared message from staff acceptance, field dispatch, restoration confirmation and delivery.

Who handles the work

Example division of work between AI workers and your team.

AI worker

Incident update worker

Confirms location, matches available incident records and prepares a response with source age and gaps visible.

  • Prepared customer information
  • Acts within policy — available records are not proof of current condition or confirmed restoration
AI worker

Priority contact worker

Captures hazard, priority-service and access details and prepares them for the agreed staff review path.

  • Priority contact preparation
  • Acts within policy — does not assess hazards, give emergency instructions or decide dispatch priority
AI worker

Field liaison worker

Turns accepted information into a structured follow-up report with location and access detail.

  • Follow-up preparation
  • Acts with approval — prepares reports for the agreed utility record; utility staff own dispatch and field decisions
Human owner

Control room operator

Accepts reports, assesses conditions, decides follow-up and owns dispatch, prioritisation and restoration confirmation.

  • Utility operational authority
  • Full authority; capacity and fallback arrangements remain with the utility

How the work could flow

Use this sequence to agree the workflow and test each step before launch.

01Incident update worker

Locate

Can the supplied location be matched to an approved record, and what remains unconfirmed?

02Priority contact worker

Prepare priority contact

Are hazard, priority-service or access details present for accountable staff review?

03Incident update worker

Inform

What does the available approved record say, when was it updated, and what remains unknown?

04Field liaison worker

Prepare follow-up report

Does the responsible team have the information needed to review and accept follow-up?

05Incident update worker

Prepare message on change

Has the approved record changed enough to prepare a proposed update for staff approval?

06Control room operator

Record staff outcome

What did staff accept or update, and is restoration still pending confirmation?

Decisions your team keeps

Proposed operating requirements to configure and verify, including what happens when a system or human handoff is unavailable.

  • Treat hazard or urgent language as a priority contact for the utility's approved staff response path; the workflow gives no emergency instructions and does not assess current conditions.
  • Use the available, source-approved incident record with its timestamp and gaps; it is not evidence of an accurate current condition or confirmed restoration.
  • Keep proposed routing separate from responder acceptance, and rehearse unavailable staff, missing source data and provider or staff capacity limits.
  • Keep saved reports, prepared messages, sent messages and delivered messages as separate records for the utility's agreed review and retention process.
  • The workflow does not replace utility emergency arrangements, hazard assessment, dispatch or restoration authority.
  • Show source, recency and missing information beside every prepared status response.
  • Require staff acceptance for priority contacts, proposed routing and outbound messages where the utility requires it.
  • Rehearse unavailable staff, source fallback and provider or staff capacity before expanding channels or volume.
  • Agree incident communication records and verify access, retention and export before relying on them for review.

What to measure

Pilot measurement definitions, not claimed customer results.

Questions prepared for review

Repeat enquiry preparation

Measure how often the workflow prepares a location-relevant response and identify cases that need staff review because the source record is missing, stale or incomplete.

Report to accountable review

Staff acceptance time

Measure elapsed time from a saved report or proposed route to acceptance by the responsible staff team; this does not measure hazard assessment, dispatch or restoration.

Status source age and gaps

Record freshness

Track the age, completeness and conflicts of the approved incident record used to prepare customer responses, with unresolved gaps sent for staff follow-up.

A bounded rollout

01Stage 1

Status preparation and staff review

Start with location-based responses from available approved records. Test freshness labels, missing-source fallback, staff acceptance and the utility's own emergency arrangements before enabling customer interactions.

02Stage 2

Add staff-approved message preparation

Evaluate proposed updates after verifying source recency, contact permissions, provider behavior, staff capacity and operator approval. Keep prepared, sent and delivered states distinct.

03Stage 3

Rehearse capacity and accountable follow-up

Rehearse routine and high-volume scenarios with unavailable staff, source fallback and provider or staff capacity limits. Expand only where the responsible utility team accepts the operating boundary.
